Renewal and expiration¶
Each member card has a validity period (1 year by default). On expiration, the member can no longer borrow until the card is renewed.
See cards about to expire¶
The dashboard shows a counter of cards approaching expiration. Click it to see the list of affected members.
You can also filter the member list by expiration date from Members → Filters.
Renew a card¶
From the member profile, click Edit. The Renew card button is next to the expiration date (Advanced options, open by default).
The click sets the expiry to today + 1 year (the category's validity). A message at the top of the page shows “New expiry date: dd/mm/yyyy”. A second click the same day does nothing. The card number does not change — the member keeps using their physical card.

Expired card: what happens?¶
When a member arrives with an expired card:
- At loan: a red alert appears. You cannot finalize the loan until the card is renewed.
- At return: no blocking. Return is always accepted, even with an expired card (otherwise overdue books would stay in the library forever).
Renew while chatting with the member¶
Take advantage of renewal to check:
- Contact info still up to date (phone, address, email)
- Recent photo (especially for children growing fast)
- Suitable category (a child who became a teen should change category for adapted loan durations)
Deactivate rather than letting expire¶
If a member no longer comes to the library, prefer Deactivate the profile (from the Actions menu) rather than waiting for expiration. This avoids including them in your active member statistics.
