Notifications and follow-ups

BibliOfelia works offline and does not send automatic emails or SMS. It is up to you to call members when a reserved book arrives. This page explains how to track notifications to do.

The Notifications to do card

On the dashboard, between the tiles and the scanner banner, a Notifications to do card displays reservations whose book has arrived but you have not yet notified the member.

Each row shows:

  • The book ready for pickup
  • The member to notify
  • The phone or email of the member (if recorded)
  • The date the book arrived

Mark a notification as done

After calling the member:

  1. Click the notification row
  2. Tick Member notified or click I notified
  3. The reservation disappears from the Notifications card

From that moment, the pickup countdown begins (see Pickup and expiration).

Follow up on old notifications

If you notified a member a few days ago and they still have not come to pick up their book, you can:

  • See the reservation history in the Reservations page
  • Filter by status Ready for pickup + date to see reservations lingering
  • Call again to follow up

For libraries without a phone

If you can't reach members directly (no phone, limited internet), display ready reservations on a paper board or a sign at the library entrance. Members will check themselves when passing by.

Organization tip

Print the list of ready reservations each week and pin it near the welcome desk: it's your call list for the week.
